FAQ - Frequently asked questions about VSME reporting
Whether it's a customer inquiry, bank discussion or supplier request: these FAQs explain why the VSME standard is becoming increasingly important for SMEs - and how ZEROVia can support you.
What is the VSME standard and why is it relevant for SMEs?
The VSME standard is a voluntary European standard for sustainability reporting, developed specifically for small and medium-sized enterprises (SMEs). It allows for the structured, understandable, and uniform documentation of key ESG (Environmental, Social, and Governance) topics without requiring the full complexity of the ESRS (European Sustainability Reporting Standards).
The VSME is precisely intended as a practical reporting format, enabling SMEs to efficiently respond to ESG inquiries from customers, banks, and partners – especially when they themselves fall under CSRD/ESRS reporting obligations. The standard is compatible with ESRS but is manageable for SMEs.
Is VSME reporting mandatory for my SME?
No. VSME reporting is legally voluntary.
In practice, however, market pressure is increasing: Large customers, corporations, and banks require ESG information – among other reasons, because they themselves report according to CSRD/ESRS or need to make ESG risks in the supply chain transparent.
For many SMEs, the VSME thus becomes the pragmatic standard for handling inquiries quickly, comparably, and professionally.
How does ZEROvia differ from other ESG reporting tools?
ZERvVia is intentionally designed for SMEs – focusing on the VSME standard instead of a multitude of complex reporting frameworks. This keeps the solution lean, understandable, and quick to implement: with concrete help for each data field, clear guidance, and without unnecessary overload.
At the same time, ZEROvia goes beyond pure reporting: your data creates an ESG profile as a shareable website that you can easily share with customers, banks, or partners (e.g., at https://zerovia.app/profiles/your-company-name). Relevant evidence such as certificates can also be presented in a structured way there.
And if you wish, ZEROvia can continue to support you in a modular way: From VSME reporting, we derive concrete measures to improve your sustainability performance – for example, to reduce energy, water, or waste costs. This turns reporting into a pragmatic program with real business benefits.
How much effort does a VSME report with ZEROvia involve?
ZEROvia guides you step-by-step through the report – including tips on where to typically find the required data and how to document it meaningfully. Many entries can be reused, so follow-up reports require significantly less effort than the first report.
An ESG profile based on our ESQ Quick Check can be created in half an hour. Based on the ESQ Assessment, within 2-3 hours. The effort for the VSME Report (Basic and Comprehensive) depends heavily on the available data (e.g., your electricity bills with consumption data). With good preparation, it can also be created in a few hours.
What's the result – will I get a „finished“ report in the end?
Yes. In ZEROvia you create a complete VSME report for your reporting year, which you can use internally or share with relevant stakeholders (as a PDF document or in XBRL format). Additionally, you can publish an ESG profile as a shareable link – a concise, understandable representation of your key ESG information.
What do I actually get out of it apart from the reporting?
With ZEROvia, sustainability reporting becomes the foundation for better decisions: you create transparency on relevant ESG topics, respond faster to customer and bank requirements, and reduce manual effort through structured data collection and reuse.
At your request, ZEROvia also supports you in deriving concrete fields of action and measures from your data – so that sustainability does not end with documentation, but is reflected in improvements in operations and organization.
Sustainability only causes additional costs, doesn't it?
Not necessarily – quite often the opposite is true. Many sustainability measures work like an efficiency program: less energy consumption, less waste, less material usage, and better processes. This can reduce costs, mitigate risks, and increase competitiveness.
The VSME report creates the necessary structure and transparency. ZEROvia helps you derive pragmatic next steps from it – with a focus on feasibility and measurable benefits.
Why does the supply chain play such an important role in ESG reporting?
For many companies, 70–90 % of greenhouse gas emissions arise in the upstream and downstream supply chain. Therefore, it is also crucial for SMEs to involve suppliers in their own sustainability program and to increasingly consider ESG criteria in procurement and supplier selection.
This is precisely why ZEROvia develops complementary modules for supplier management and sustainable procurement – so that ESG is not isolated, but integrated into essential business processes.
Is the VSME report per fiscal year – and can I finalize it?
Yes. The VSME report is created for each reporting year/fiscal year, similar to a financial statement. In ZEROvia, you can mark a report as final at a specific point in time, so it is clearly documented which version is considered „submitted“ or officially completed. If needed, you can build upon it in the following year and continue working with a new version.
Is ZEROVia also suitable for large customers, banks, and insurance companies?
ZEROvia primarily targets SMEs that are not subject to CSRD reporting requirements and therefore need a simple, affordable, and practical reporting format. This is precisely where its advantage lies – also for large companies, banks, and insurance providers.
Because many larger organizations want to improve ESG transparency in their supply chains. Often, the current view of suppliers is already based on external ratings and general risk indicators (e.g., industry, country, or reputational risks). However, when more robust and comparable supplier data is needed, data collection quickly becomes time-consuming in practice.
ZEROvia enables a pragmatic approach here: Large customers or financial institutions can jointly initiate structured ESG data collection („campaigns“) with their suppliers and recommend VSME reporting in ZEROvia as a simple, connectable format to their SME suppliers. This creates additional transparency – without overwhelming suppliers with complex systems or frameworks.

A small step with a big impact.
